Event Terms & Conditions

These Event Terms & Conditions (“Terms”) govern the application, selection, payment, registration, and participation in Vuelta Chapala (the “Event”).
Vuelta Chapala is a branded event operated by HIRAM SERVICES & SOLUTIONS, S. de R.L. de C.V., with legal address at Greco 517, Prados Providencia, Guadalajara, Jalisco, México, C.P. 44670, telephone +52 33 2037 6027, and email [email protected] (“Organizer,” “we,” “us,” or “our”). Certain local ground operations in Mexico may be carried out by affiliates, contractors, suppliers, staff, or authorized local service providers engaged by the Organizer.
By submitting an application, accepting a selection invitation, making any payment, registering, or participating in the Event, you (“Applicant,” “Participant,” “Rider,” or “you”) agree to be bound by these Terms, together with the applicable Cancellation, Refund & Force Majeure Policy, Event Waiver & Rider Release, Shared Responsibility Letter (Carta de Responsabilidad Compartida), Privacy Policy, and any operational instructions or rider information issued by the Organizer.
1. Scope of the Event
Vuelta Chapala is a curated road cycling event. The Event may include, depending on the entry confirmed to the rider or official event materials, access to the ride, designated support services, rider materials, on-site logistics, feed zones, official communications, and other services expressly described by the Organizer.
Only the services expressly confirmed by the Organizer in the applicable registration, checkout, invoice, or confirmation communication are included. No service or benefit shall be deemed included by implication.
2. Eligibility
To apply for or participate in the Event, you must:
- be at least 18 years of age on the date of the Event, unless the Organizer expressly authorizes otherwise in writing;
- have the legal capacity to enter into a binding agreement;
- meet any minimum riding, safety, fitness, documentation, or experience requirements communicated by the Organizer;
- provide true, current, and complete information at all times;
- complete all required forms, waivers, acknowledgments, and payment steps within the deadlines established by the Organizer.
The Organizer reserves the right to request additional information or documentation, including identity verification, emergency contact information, medical disclosures relevant to event safety, or proof of eligibility.
3. Application and Selection Process
Submission of an application, inquiry, or interest form does not constitute acceptance into the Event.
The Event may operate under a selection-based process. The Organizer may review applications and determine, in its sole but reasonable discretion, whether to invite an Applicant to proceed to registration and payment.
The Organizer reserves the right to accept, reject, defer, or revoke any application or selection invitation where necessary to preserve event safety, event standards, operational integrity, eligibility requirements, or the overall experience of the Event.
Applicants must ensure that all information submitted is accurate and complete. Any false, misleading, incomplete, or outdated information may result in rejection, cancellation of registration, or removal from the Event without refund, subject to applicable law.
4. Invitation to Pay and Confirmation of Entry
If an Applicant is selected, the Organizer may issue an invitation to register and pay for the Event.
Unless expressly stated otherwise by the Organizer:
- selection does not by itself guarantee a confirmed place;
- a place is confirmed only when the required payment has been successfully received in full, all required documentation has been completed, and the Organizer has issued a written confirmation of entry;
- if payment is not completed within the deadline stated in the invitation, checkout flow, invoice, or written communication, the invitation may expire automatically and the place may be released without further notice.
The Organizer may refuse to confirm an entry if required payment, forms, waivers, or eligibility documentation are missing, inaccurate, or incomplete.
5. Prices, Currency, Taxes, and Payment Terms
All prices displayed or quoted for the Event shall be in the currency indicated at checkout or in the applicable communication from the Organizer. Unless otherwise stated, prices are per person.
Prices may include only those items expressly identified as included. Any taxes, processing charges, transaction fees, or third-party charges shall be handled as stated at checkout or in the applicable invoice.
Unless the Organizer expressly offers another payment structure in writing, Event registration must be paid in full within the payment deadline communicated to the selected Applicant.
The Organizer reserves the right to correct manifest pricing, administrative, or technical errors at any time before confirmation. In such case, the Applicant will be informed and may choose whether to proceed at the corrected price or cancel prior to confirmation.
6. Payment Authorization and Chargebacks
Payments may be processed through the Organizer’s approved payment platforms and checkout systems. By submitting payment, you represent that you are authorized to use the selected payment method and that all billing information provided is accurate.
You agree not to initiate an improper or unjustified chargeback. Before disputing a charge with your payment provider, you must first contact the Organizer in good faith to seek resolution.
The Organizer reserves the right to contest any improper chargeback and to recover costs reasonably incurred in responding to such dispute, including administrative costs and legal fees, to the extent permitted by law.
7. Included and Excluded Services
Only the services expressly listed by the Organizer as included in the Event registration are included.
Unless expressly stated otherwise, the following are not included:
- flights, airport transfers, or general travel arrangements;
- accommodation or lodging;
- visas, permits, or travel documentation;
- bicycle rental, spare parts, or bike shipping;
- personal travel, health, or accident insurance;
- medical treatment beyond emergency coordination or emergency response services that may be available on-site;
- personal equipment, nutrition, clothing, or gear;
- any service, amenity, or upgrade not expressly included by the Organizer.
Participants are solely responsible for their own travel planning, personal equipment, compliance documents, and insurance arrangements unless the Organizer expressly provides otherwise in writing.
8. Participant Representations and Declarations
By applying for, registering for, or participating in the Event, you represent and warrant that:
- you are physically and mentally fit to participate in a demanding road cycling event;
- you possess the cycling skill, judgment, and experience reasonably necessary for participation;
- you will follow all event rules, safety instructions, route controls, and staff directions;
- you understand that road cycling involves inherent risks, including risks of serious injury, illness, disability, death, and property damage;
- any health, emergency, or medical information you provide is true and complete to the best of your knowledge;
- you will immediately inform the Organizer of any material change affecting your eligibility or safe participation.
The Organizer does not provide individualized medical assessment, performance evaluation, or personal suitability advice. Participation remains your own decision and responsibility.
9. Mandatory Documentation and Waivers
As a condition of participation, each Participant may be required to complete and accept:
- the applicable Event Waiver & Rider Release;
- the Shared Responsibility Letter (Carta de Responsabilidad Compartida), where applicable;
- emergency contact details;
- any rider briefing acknowledgments;
- identity verification steps;
- any additional safety, operational, legal, or compliance documents requested by the Organizer.
Failure to complete required documentation, including the Shared Responsibility Letter (Carta de Responsabilidad Compartida), where applicable, by the deadlines set by the Organizer may result in cancellation of registration or denial of participation, without prejudice to the applicable cancellation terms.
10. Non-Transferability and No Unauthorized Resale
All Event entries, invitations, registrations, credentials, and related benefits are personal, limited, and non-transferable, unless the Organizer expressly authorizes a transfer in writing.
No Participant may sell, assign, transfer, exchange, gift, market, or otherwise dispose of an Event place or related entitlement without prior written consent from the Organizer.
Any unauthorized transfer, attempted resale, fraudulent registration, impersonation, or misuse of Event credentials may result in immediate cancellation of the registration and denial of participation, without refund, to the extent permitted by law.
11. Identity Verification and Check-In
The Organizer may require Participants to present valid government-issued identification and any requested confirmation documents during check-in, rider registration, packet collection, or at any other reasonable stage of the Event process.
If a Participant fails to establish identity or eligibility to the Organizer’s reasonable satisfaction, the Organizer may refuse check-in, deny access, or cancel participation.
12. Participant Conduct and Right of Removal
Participants must behave responsibly, respectfully, and in accordance with all instructions issued by the Organizer, support staff, marshals, authorities, medical teams, and authorized representatives.
The Organizer reserves the right to deny, suspend, neutralize, or terminate a Participant’s involvement in the Event, without refund, where reasonably necessary for safety, legality, operational control, or the protection of other participants, staff, or third parties, including in cases of:
- unsafe riding behavior;
- refusal to follow instructions;
- abusive, threatening, reckless, intoxicated, or disruptive conduct;
- equipment deemed unsafe by the Organizer;
- failure to meet mandatory timing, cut-off, or route-control requirements;
- fraud, impersonation, or document irregularities.
Any decision taken in good faith for operational or safety reasons shall be binding at the event level, without prejudice to any rights the Participant may have under applicable law.
13. Event Rules, Safety Controls, and Operational Authority
The Organizer may establish and enforce event-specific rules, including but not limited to:
- mandatory helmet use;
- equipment standards;
- rider briefing attendance;
- check-in requirements;
- route controls and timing cut-offs;
- neutralization, rerouting, or shortened course decisions;
- mandatory withdrawals or rider extraction for safety reasons.
Participants must comply fully with such rules. The Organizer’s operational decisions made for safety, weather, emergency, or route-control reasons shall prevail.
14. Event Changes and Operational Modifications
The Organizer reserves the right to make reasonable changes to the Event at any time where necessary or advisable, including changes to:
- schedule;
- start time;
- route;
- distance;
- elevation profile;
- feed zones;
- support logistics;
- staff allocation;
- vehicle access;
- on-site procedures;
- services, features, or amenities.
Such changes may be required by weather, road conditions, government instructions, safety considerations, force majeure events, supplier issues, public order needs, or operational judgment.
No such change shall constitute a breach of contract where the Event can still be reasonably delivered in substance, subject to applicable law.
15. Cancellation, Refunds, Credits, and Force Majeure
Cancellations, refunds, credits, deferrals, postponements, and force majeure situations are governed by the separate Cancellation, Refund & Force Majeure Policy, which is incorporated into these Terms by reference.
By registering for the Event, you acknowledge that:
- cancellation rights are limited;
- confirmed registrations are generally final;
- refunds may be restricted or unavailable depending on the circumstances;
- force majeure, acts of authority, public safety conditions, severe weather, route closures, public health events, or other extraordinary circumstances may require postponement, modification, shortening, neutralization, or cancellation of the Event;
- any refund, credit, transfer, or rescheduling right shall be determined exclusively in accordance with the applicable policy and mandatory law.
If there is any inconsistency between this Section and the separate Cancellation, Refund & Force Majeure Policy, the separate policy shall prevail with respect to that subject matter.
16. Insurance
The Organizer does not provide personal accident, health, medical, evacuation, travel, or cancellation insurance for Participants unless expressly stated otherwise in writing.
Each Participant is solely responsible for securing adequate personal insurance coverage appropriate to the risks of international travel, road cycling, physical injury, medical treatment, evacuation, cancellation, interruption, property loss, and liability exposure.
Participants are strongly encouraged to obtain comprehensive insurance before traveling or participating.
17. Medical Assistance and Emergency Response
The Event may include certain emergency response arrangements, coordination protocols, medical support points, ambulances, or third-party emergency services, depending on the event plan and local availability. Such services are operational support measures only and do not constitute an individualized medical undertaking or guarantee of treatment.
The Organizer may, in its reasonable discretion, arrange or facilitate emergency assistance if a Participant appears to require it and the Participant is unable to make decisions at that moment. Any resulting medical, transport, hospital, rescue, evacuation, or third-party emergency costs remain the Participant’s sole responsibility unless otherwise required by law.
18. Assumption of Risk and Waiver
Participation in the Event involves inherent and significant risks associated with road cycling, endurance effort, public roads, terrain conditions, traffic exposure, weather, mechanical issues, third-party conduct, emergency response limitations, and physical exertion.
Each Participant is required to review and accept the separate Event Waiver & Rider Release, which forms an essential condition of participation.
Nothing in these Terms shall be interpreted as limiting any waiver, acknowledgment, or release contained in the applicable Event Waiver & Rider Release, except to the extent prohibited by applicable law.
19. Photography, Video, and Likeness
The Event may be photographed, filmed, recorded, or otherwise documented by the Organizer or its authorized partners.
By participating in the Event, you grant the Organizer and its affiliates, licensees, successors, and authorized media partners a worldwide, royalty-free, non-exclusive right to capture, use, reproduce, publish, display, distribute, edit, and communicate your image, likeness, name, voice, riding image, and related event content in connection with the Event and its promotion, documentation, editorial coverage, archives, social media, website materials, advertising, and related commercial communications.
You waive any claim for compensation arising solely from such use, except where prohibited by applicable law.
20. Third-Party Services and Suppliers
The Organizer may rely on third-party suppliers, contractors, venues, security teams, police support, medical responders, logistics providers, photographers, timing or route support services, and other external providers.
To the fullest extent permitted by law, the Organizer shall not be liable for the independent acts, omissions, or failures of third parties beyond its reasonable control, except where liability arises from the Organizer’s own gross negligence, willful misconduct, or non-excludable legal responsibility.
21. Limitation of Liability
To the fullest extent permitted by applicable law, neither the Organizer nor its officers, directors, members, managers, employees, contractors, staff, representatives, affiliates, local operators, suppliers, or agents shall be liable for any indirect, incidental, consequential, special, exemplary, punitive, or economic damages arising out of or in connection with the Event, including loss of travel arrangements, loss of opportunity, loss of enjoyment, loss of data, reputational damage, or similar losses.
To the fullest extent permitted by law, and except in cases of willful misconduct, gross negligence, or liability that cannot lawfully be excluded or limited, the total aggregate liability of the Organizer arising out of or in connection with the Event shall not exceed the amount actually paid by the Participant to the Organizer for the specific Event registration giving rise to the claim.
Nothing in these Terms excludes or limits any liability that cannot lawfully be excluded or limited under applicable law, including mandatory consumer protection rights.
22. Privacy and Data Protection
The Organizer may collect and process personal data necessary for application review, registration, event operations, safety management, communications, legal compliance, analytics, and related legitimate purposes.
Where relevant to event safety or operations, this may include emergency contact details, identity information, and limited health-related information voluntarily provided by the Participant.
Such processing shall be governed by the Organizer’s Privacy Policy and applicable data protection law. Participants are responsible for ensuring that any information they provide is accurate and lawfully provided.
23. Communications
By applying for or registering for the Event, you agree that the Organizer may communicate with you by email, telephone, messaging channels, CRM systems, or other reasonable means regarding your application, selection status, registration, payment, event operations, rider information, safety instructions, legal notices, and related matters.
Marketing communications remain subject to the choices you make and to applicable law.
24. Breach and Remedies
If a Participant breaches these Terms, the Organizer may, depending on the seriousness of the breach and subject to applicable law:
- issue warnings;
- request corrective action;
- suspend or cancel registration;
- deny participation;
- remove the Participant from the Event;
- retain monies where contractually and legally permitted;
- pursue any other remedy available under law or contract.
The exercise of one remedy shall not prevent the Organizer from exercising others where appropriate.
25. Governing Law, Negotiation, and Dispute Resolution
These Terms and any non-contractual obligations arising out of or in connection with them shall be governed by and construed in accordance with the applicable federal laws of Mexico and, where relevant, the laws of the State of Jalisco, without regard to conflict of laws principles.
Before commencing formal proceedings, the Participant and the Organizer shall first attempt in good faith to resolve any dispute through direct written negotiation for a period of at least thirty (30) calendar days after written notice of dispute is delivered by one party to the other.
If the dispute is not resolved through negotiation, it shall, to the fullest extent permitted by applicable law, be finally resolved by confidential binding arbitration seated in Guadalajara, Jalisco, Mexico, before a sole arbitrator.
The arbitration shall be administered by the Centro de Arbitraje de México (CAM) in accordance with its rules in force at the time the arbitration is commenced, except as otherwise expressly agreed in writing by the parties.
Notwithstanding the foregoing:
(a) either party may seek interim, conservatory, or injunctive relief from any court of competent jurisdiction in Mexico where necessary to protect rights pending final resolution of the dispute;
(b) nothing in these Terms shall prevent a Participant from exercising any non-waivable right under applicable consumer protection law, including the right to file a complaint or seek conciliation before PROFECO or any other competent authority in Mexico where such right cannot lawfully be waived or restricted; and
(c) if any arbitration provision is held unenforceable as to a particular claim or participant under mandatory law, that claim shall be submitted exclusively to the competent courts of Guadalajara, Jalisco, Mexico, unless another forum is required by mandatory law.
26. Language
These Terms may be made available in more than one language for convenience. In the event of any inconsistency between language versions, the Spanish version shall prevail for purposes of interpretation, enforcement, and any proceeding brought in Mexico, or whenever required by mandatory law. The English version may be used for convenience and for international communications only.
27. Electronic Acceptance
You agree that electronic applications, checkboxes, digital signatures, online confirmations, email acknowledgments, and electronic payment authorizations may constitute valid and binding acceptance of these Terms and related event documents, to the extent permitted by law.
28. Severability
If any provision of these Terms is held to be invalid, unlawful, or unenforceable, the remaining provisions shall remain valid and enforceable to the fullest extent permitted by law.
29. No Waiver
No failure or delay by the Organizer in enforcing any right or provision under these Terms shall constitute a waiver of that right or provision.
30. Updates to These Terms
The Organizer may update these Terms from time to time for legal, regulatory, operational, safety, or business reasons. The version in effect at the time of your confirmed registration shall generally govern your participation, unless an update is required by law, safety, or operational necessity.
Updated versions may be published on the Website and may indicate a revised “Last updated” date.
